Telecoms systems are critical to railway safety and customer service, but they don’t age at the same pace. CCTV cameras, help points, concentrators, servers and switches all have different life cycles, different suppliers, and different vulnerabilities. Without an active plan, spares disappear from the market, software patches end, and failures begin to cluster in ways that disrupt both operations and budgets.

The key to avoiding surprises is obsolescence management that never sleeps. Live registers, planned refresh cycles, and disciplined spares strategies give operators visibility and control. With these in place, teams can manage risks before they escalate, rather than firefighting when equipment finally fails.

Know what you own

It all starts with visibility. You cannot manage what you don’t know you have. A live asset list — not a static spreadsheet updated once a year, but a system refreshed as equipment changes — is essential. Each entry should capture the age of the asset, its current operational status, and its support position with the supplier.

This record makes risks visible. For example, a fleet of analogue help points may still be working, but if the manufacturer has withdrawn support and spares are scarce, the failure risk is already high. By capturing this information, operators can forecast which assets are likely to cause issues in the next 12–24 months and plan interventions before disruption occurs.

Equally, a robust register helps with investment planning. Decisions can be based on evidence rather than anecdote, ensuring that refresh budgets are aimed where they are truly needed.

Replace with purpose

Replacement programmes work best when they are purposeful, not piecemeal. Rather than swapping out equipment one fault at a time, assets should be grouped by risk, accessibility, and possession opportunities. This means upgrades are coordinated and disruptive access is used efficiently.

For example, if a possession is planned to renew cabling in a station, it makes sense to replace end-of-life CCTV units at the same time. This bundling reduces the number of interventions, saves cost, and ensures that assets with similar risk profiles are refreshed together.

Purposeful replacement also builds consistency. By upgrading groups of equipment at once, systems remain aligned in terms of software versions, performance, and support. This reduces the complexity of maintenance and ensures the network behaves predictably.

Manage spares

Even with careful replacement planning, spares management remains vital. The aim is not to stockpile endlessly, but to hold the right spares in the right quantities. That means assessing which assets are critical to operations and which can be supported with slower replacement.

At the same time, obsolete spares should be retired. Storing outdated components creates confusion and increases the chance of incorrect installation during a fault response. Every swap should be documented, feeding back into the asset register so that future teams know exactly what was changed, when, and why.

A disciplined spares policy reduces downtime, avoids wasted storage, and provides engineers with the confidence that when something fails, the right part is ready to go.
